Kathmandu Airport Self-Drive Car Rental: Pickup, Documents and Costs

After a flight, the last thing you want is a confusing vehicle handover. You need to know who you are meeting, where the car will be and whether the documents you brought are enough to collect it.

A Kathmandu airport self-drive car rental is easiest when those details are agreed before departure. This guide explains how to plan a handover around Tribhuvan International Airport, what to prepare and how to keep the first day comfortable.

Arrange the handover before you fly

Contact Rent Car Nepal with your arrival date, flight details and preferred vehicle. Ask the team to confirm whether airport handover is available for your booking and where the meeting will take place.

Do not assume there is a walk-in Rent Car Nepal counter inside the terminal. An arranged meeting point and a confirmed contact number are more useful than a general promise of “airport pickup.” Keep those details accessible without needing airport Wi-Fi.

If you prefer to rest first, ask whether another agreed collection point would work better. A flight arrival and the start of a self-drive journey do not have to happen at the same moment.

Information to send with your request

Provide the flight number, expected arrival time, domestic or international arrival, and a contact number you can use in Nepal. Add your rental dates, intended return point, passenger count and luggage.

Tell us where you plan to drive. A local stay in Kathmandu Valley and an immediate departure for Pokhara require different preparation. Include any car-seat request or other essential requirement rather than leaving it for the meeting point.

A useful enquiry could read: “We arrive on this flight, need a car for these dates, have this many passengers and bags, and plan to travel to these places.” That gives the team enough information to check a suitable arrangement.

Which documents should you prepare?

You need a valid driving licence for the vehicle category and the identification requested for your booking. Rent Car Nepal’s published terms specify a licence held for at least two years and valid identification. Confirm the complete eligibility requirements before making travel plans around a particular vehicle.

International visitors should send their licence details for advance verification and ask what supporting documents are required for their nationality and licence. The website requests an International Driving Permit alongside the original licence for international travellers. An IDP should not be treated as a replacement for the original licence or as proof that every rental will be approved.

Our rental documents checklist explains how to prepare. Carry the originals requested for collection, even if copies were checked beforehand.

How much does airport car rental cost?

Separate the vehicle rental from the airport arrangement. Ask for a written total identifying any handover, parking, waiting or return-collection charge. If a fee is waived for your booking, have that confirmed rather than relying on an old promotion.

Your quote should also identify the car, rental period, route conditions, deposit and applicable taxes. Outside-valley travel may change the price. A base daily rate shown on a fleet card is not automatically the final airport package price.

Compare options in our self-drive rental price guide, then request a quote for your exact arrival and departure arrangements.

What if your flight is delayed?

Send an update as soon as you know your arrival has changed. Agree in advance how the team will handle a delay, whether the meeting time can move and whether any waiting charges apply.

Also clarify when the paid rental period starts. Flight landing time, meeting time and completed vehicle handover are different moments. A written start time helps avoid disagreement later.

If a very late arrival makes the original plan impractical, discuss another arrangement rather than assuming someone can wait indefinitely. Advance communication gives both sides a chance to find a workable option.

Choose a car for luggage as well as passengers

Airport bookings often involve more baggage than an ordinary day trip. Tell us the number and approximate size of your suitcases. A five-seat car can still be too small for five travellers with large bags.

Avoid planning to carry loose luggage where it blocks visibility or cannot be secured. If you need a child seat, confirm a suitable one before booking and allow time to fit it correctly.

Our electric car comparison can help you make a shortlist. The final decision should be based on the actual vehicle and your group’s needs.

Give the handover enough attention

A tired arrival is not a reason to skip the inspection. Walk around the vehicle with the representative and record existing marks, windscreen condition, tyres and interior condition. Check that the paperwork matches the car you are collecting.

For an EV, note the starting battery level and learn the gear selector, charging port and parking brake. Confirm the return-charge expectation and the equipment supplied. Set your mirrors and route before moving, not while joining traffic.

Read the deposit and insurance guide before your flight so those questions are already familiar at collection.

Plan a gentle first journey

If you are tired, unfamiliar with the roads or arriving after a long overnight flight, consider going to your accommodation and resting before driving. Self-drive is about having control of the trip, including the decision to postpone a journey.

For your first drive, choose a straightforward destination with confirmed parking. Ask your accommodation about access restrictions or a narrow final approach. A map pin may not indicate the best entrance for a car.

Do not schedule a demanding highway departure simply because the vehicle is available. Our self-drive versus driver guide can help you consider an alternative for the arrival day.

Returning the car before your flight

Agree the return location, time and contact person early. Allow for traffic, inspection and any charge or fuel requirement before you need to check in. Returning the vehicle is a separate task from arriving at the terminal.

Take return photographs and record the final condition with the representative. Ask how the deposit settlement will be handled and retain the return acknowledgement. Do not leave the car and keys unattended unless a specific authorised process has been agreed.

Frequently asked questions

Is airport pickup always free?

Do not assume it is. Ask for the airport arrangement and any waiver to be included in your confirmed quote.

Can I collect an EV immediately after landing?

That depends on availability, timing, document approval and the agreed handover. Arrange it in advance rather than expecting instant collection without a confirmed booking.

Can international visitors rent a self-drive car?

Eligibility depends on document verification, applicable requirements and the rental agreement. Send your licence details before travelling and get confirmation for your own circumstances.

Can I return at a different location?

Only with an agreed arrangement. A different return point may affect availability, charges and the collection process.
